Privacy Policy

This policy explains what Ranch Compass collects, why it is collected, where offline ranch records live, and how to ask for export or deletion.

What we collect

Ranch Compass collects the information needed to run an offline-first herd book, secure ranch accounts, provide support, and improve reliability.

Account and authentication data
Name, email address, password authentication data, ranch membership, roles, session tokens, browser/device details, and security logs.
Ranch records
Animal profiles, tag numbers, notes, weights, health records, calving, breeding, sales, attachments if added later, audit history, timestamps, and the user who recorded each event.
Billing and communications
Plan, trial, invoice, payment status, and support messages. Ranch Compass does not collect card numbers directly; when payments are enabled, a third-party payment processor will handle card details.
Diagnostics and product telemetry
Technical logs, browser or device details, crash reports, performance events, and usage analytics when those tools are enabled. These help keep offline sync reliable and find product problems.

How we use information

We use information to create and secure accounts, sync ranch records across invited users and devices, provide customer support, generate exports, improve product quality, prevent abuse, comply with legal obligations, and operate billing once paid subscriptions are enabled.

Ranch Compass does not sell ranch records or personal information. We do not use ranch records for advertising profiles.

Offline storage and sync

Ranch Compass is designed to work offline. The web app may store ranch records, queued changes, authentication state, and sync metadata locally on your device so the herd book works without service. Anyone with access to that device profile may be able to access locally stored app data.

When the device reconnects, queued records sync to the ranch store for the organization. Removing the app, clearing browser storage, or signing out may remove local copies, but synced records can remain in Ranch Compass systems until exported, deleted, or retained as described below.

Service providers and processors

We use a small set of vendors to operate Ranch Compass. The list below reflects the processors currently in use and is kept aligned with the codebase. As we enable payments, email delivery, error monitoring, and product analytics, the additional processors involved will be listed here before they go live.

Active
Hosts the web app and API on Workers, stores authentication data in D1, stores per-ranch sync data in Durable Objects, and provides operational logs.

Retention, export, and deletion

We keep account and ranch records while your account or ranch organization is active and for a reasonable period afterward for backup, security, audit, tax, dispute, and legal purposes. Event history is part of the product: it preserves who recorded what and when, so ordinary edits do not erase prior ranch records.

Account settings include self-serve export and account deletion tools. Account deletion is scheduled 60 days out so accidental requests can be restored by support during that window. When final deletion runs, ranches where the deleted user is the only active member are deleted with their synced LiveStore storage; ranches with another active member remain available to that member. You can also request help with export, restoration, or deletion by emailing howdy@ranchcompass.com. Some data may remain where retention is required for security, legal compliance, billing, backups, audit history, or legitimate dispute records.

Your choices and rights

Depending on where you live, you may have rights to access, correct, export, delete, restrict, or object to certain processing of personal information. Ranch Compass is built for US ranch operations, but we will review privacy requests from any user and respond as required by applicable law.

You can also limit some collection by disabling cookies or local storage, but doing so may break sign-in, offline storage, sync, or other app features.

Security, children, and changes

We use reasonable technical and organizational safeguards for the size and stage of the service, including access controls and provider-level security controls. No system is perfectly secure, especially when data is stored on devices used in the field.

Ranch Compass is not directed to children under 13. We may update this policy as the product, processors, or legal requirements change. Material updates will be posted on this page with a new effective date.
